Privacy Policy

indieauthorjones.com
Effective date: November 16, 2025

1) Who we are & how to reach us

This website (“Site”) is operated by indieauthorjones.com.
Contact: [email protected] or the contact form on the Site.

This Policy explains what we collect, how we use it, when we share it, and the choices you have. It applies to information collected online through this Site and our email list.

2) Information we collect

  1. You give it to us
  • Contact details (name, email) when you submit a form, request a press kit, or join the mailing list.
  • Message content you type into forms and any files you upload (e.g., PDFs for media requests).
  • Preferences you choose to share (e.g., favorite genres).

Providing this data is optional, but some features won’t work without it (for example, we can’t reply without your email).

  1. We collect it automatically

When you visit, our systems and service providers may log:

  • Technical details: IP address, browser, device type, operating system, referring/exit pages, timestamps.
  • Usage data: pages viewed, links clicked, errors, load times.
  • Approximate location (city/state/country) inferred from IP.
  • Cookies and similar tech that help the Site function and perform.

We currently keep tracking light and focused on functionality and performance. If we later add advertising or remarketing tech, we’ll update this Policy before it goes live.

3) Cookies & similar technologies

We use:

  • Essential cookies to keep forms and navigation working.
  • Performance/analytics to understand what’s helpful and fix issues (often in aggregate form).
  • Local storage/session storage for short-term preferences (e.g., form state).

Your choices: Most browsers let you block/delete cookies. The Site may still work, but some features can behave differently.
Do Not Track: There’s no common response standard; we don’t currently act on browser DNT signals.

Opt-out tools for interest-based advertising (if we add it later):

4) How we use your information

  • Operate and improve the Site, forms, and mailing list.
  • Respond to messages, interview requests, event invitations, and rights queries.
  • Send updates you request (newsletter, new releases, appearances).
  • Analyze Site performance and reader interest (usually aggregated).
  • Protect the Site, prevent abuse/fraud, and comply with law.

Legal bases we rely on include consent (newsletters), legitimate interests (running and improving the Site), contract (fulfilling your requests), and legal obligations.

5) When we share information

We do not sell personal information.

We may share limited data with:

  • Service providers (hosting, email delivery, form handling, security, analytics). They must use it only to provide services to us.
  • Legal recipients if required by law, subpoena, or to protect rights, safety, or property.
  • Business changes (rare here, but if ownership of the Site or mailing list ever transfers, your info may transfer with it under this Policy).

We may publish aggregated or de-identified insights (e.g., “most-visited page”), which do not identify individuals.

6) Promotions, referrals, and user content

  • Giveaways/Surveys/Promotions: If we run them, we’ll post official rules. We may collect necessary details (e.g., name, email, shipping city) and disclose winners if required by law.
  • Referrals (“tell a friend”): If we ever offer this, we’ll use your friend’s email once to send your invite and not for other purposes.
  • Feedback & submissions: If you send us ideas or comments, we may use them to improve the Site or marketing without obligation or attribution (no personal information disclosed without consent).

7) Your choices & rights

  • Unsubscribe: Every newsletter has an unsubscribe link.
  • Access/Correct/Delete: Email [email protected] to request a copy of your data, correct it, or delete it. We’ll respond in a reasonable time.
  • Attachments: Please avoid sending sensitive data (e.g., SSNs, health or banking details). If you need to retract an upload, contact us promptly.

State/International notices

  • California (Shine the Light/CPRA): We do not sell personal information or share it for cross-context behavioral advertising. If that changes, we’ll provide required opt-outs.
  • EU/UK visitors: Where applicable, you may have rights to access, rectify, delete, restrict, object, or port your data. Contact us and we’ll honor valid requests.

8) Children’s information

This Site is for general audiences and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child provided information, contact [email protected] and we’ll delete it.

9) Data retention

We keep data only as long as needed for the purposes described here, then delete or anonymize it:

  • Contact form messages: typically retained while an inquiry is open and for a reasonable period afterward for reference and legal recordkeeping.
  • Mailing-list data: until you unsubscribe or we detect repeated bounces.
  • Analytics: per provider defaults (often 14–26 months), preferably in aggregate.

10) Security

We use reasonable administrative, technical, and organizational measures to help protect personal information. No website can promise perfect security. If you suspect an issue, notify us immediately.

11) North Carolina notice & governing law

We operate from North Carolina. If a data incident affects North Carolina residents, we will provide any required notices consistent with North Carolina law and other applicable laws. This Policy and any dispute arising from it are governed by North Carolina law, without regard to conflict-of-laws rules. Courts of competent jurisdiction in North Carolina will have venue and jurisdiction.

12) Third-party links & embedded content

Our Site may link to third-party sites or embed third-party content (e.g., book retailers, video platforms, social media). Those services have their own privacy practices. Review their policies; we’re not responsible for them.

13) Changes to this Policy

We may update this Policy from time to time. The Effective date at the top will change, and the updated version will be posted here. If a change materially affects your choices or our practices, we’ll highlight it on the Site or via email.

14) How to contact us

Email: [email protected]
Contact form: available on the Site
Postal mail: [Add your mailing address here]

Appendix: More detail about technologies we may use (transparency note)

To mirror common industry disclosures and for clarity, the Site or our providers may use:

  • Web server logs (IP, timestamps, pages requested) to troubleshoot and prevent abuse.
  • Cookies & pixels to keep you signed in to tools and measure page performance.
  • Embedded scripts that run while you’re on a page to measure interactions and errors.
  • Location signals (IP-based, city/state/country only) used for localized content and security.

If we adopt third-party analytics or marketing tools later (e.g., Google Analytics, Meta Pixel, Bookshop affiliate), we’ll list them here and provide links to their opt-outs and settings.

Optional short summary for your page intro (not part of the policy)

We collect only what we need to run the Site and newsletter, we don’t sell your data, and you can unsubscribe any time. For privacy requests, by going to email [email protected].
